Privacy Policy

This Privacy Policy explains how Gakkar Digital Services (“PicsForm”, “we”, “us”) collects, uses, stores, and shares personal data when you use the PicsForm website and related services.

Account data: name, email, phone (if provided), authentication details.

Photo data: images you upload or capture, and derived outputs (cropped photos, transparent cutouts, print sheets, compliance reports, watermarks).

Technical data: IP address, device/browser type, approximate location from IP, logs, cookies or similar technologies needed for security and session management.

Payment data: payment status, order IDs, and limited transaction metadata from Razorpay. We do not store full card numbers; the payment provider processes card/UPI details.

Support data: messages, attachments, and ticket history you send to support.

To provide document-photo preparation, compliance scoring, Auto-improve, downloads, and vault storage.

To process payments, prevent fraud, and secure the Service.

To communicate about orders, account security, and (with consent where required) product updates.

To improve algorithms and reliability using aggregated or de-identified insights where feasible; we do not sell your photos as a product dataset.

To comply with legal obligations and enforce our Terms.

To process photos we may send image data to cloud AI infrastructure (for example fal.ai and similar providers) for background removal, enhancement, or related tasks under contracts that limit use to providing the service.

Those providers process data on our instructions and may store transient copies as needed for inference. See their privacy documentation for infrastructure details.

Depending on your location, we rely on: performance of a contract (providing the Service you request); consent (e.g., image processing checkbox, marketing where required); legitimate interests (security, fraud prevention, product improvement in a privacy-respecting way); and legal obligation.

We share data with: payment processors (Razorpay); hosting/cloud and AI subprocessors; professional advisors; and authorities when legally required.

We do not sell personal information for advertising.

Account and order records are kept as needed for the Service, accounting, and legal retention periods.

If you enable Privacy mode at checkout, we do not retain usable photo bytes after fulfilment. You may also delete a vault photo permanently (original and processed images).

Uploaded photos and vault items may be deleted when you delete them, when your account is closed, or after inactivity periods we define — subject to backup cycles and legal holds.

Unpaid preview pipelines may retain temporary working files for a short period to complete processing.

We use reasonable technical and organisational measures (encryption in transit, access controls, least-privilege practices). No method of transmission or storage is 100% secure.

Subject to applicable law, you may request access, correction, deletion, or restriction of your personal data, or withdraw consent for future processing where consent is the basis.

You may also lodge a complaint with a data protection authority where you live. In India, you may write to us as the data fiduciary under the Digital Personal Data Protection Act, 2023.

PicsForm is directed to adults preparing document photos. If you submit a child’s photo, you must be the parent/guardian or authorised agent and are responsible for required consents.

Data may be processed in India and in other countries where our subprocessors operate. Where required, we use appropriate safeguards for cross-border transfers.

We use essential cookies and similar storage for sign-in, security, language, theme, and optional first-party product analytics (for example Plausible) when enabled. Analytics, if configured, measures aggregated page views to improve PicsForm — it is not used for advertising and is not a cross-site marketing tracker. Where a jurisdiction requires consent for optional analytics, we will request it before loading that script.

Gakkar Digital Services is the data fiduciary for PicsForm. We process personal data (including photographs) to provide the Service you request, to secure accounts, and to meet legal obligations.

You may withdraw consent for future image processing by not uploading further photos and by requesting deletion of vault copies. Order and invoice records may still be retained for accounting.

We may update this Privacy Policy from time to time. The effective date above will change when we do. Continued use after an update constitutes acknowledgement of the revised policy.
